This notice explains how we use personal information collected through inclusiveeq.com. Platform customer-data terms and processing details are supplied separately during onboarding.
Who we are
Inclusive IT Solutions Ltd is the controller for personal information submitted through this marketing website. You can contact us at sales@inclusiveitsolutions.co.uk.
Information we collect
When you contact us, we collect the name, email address, enquiry subject and message you provide. Our systems may also receive technical information needed to deliver and secure the site, such as an IP address, request time, browser information and security logs.
Why we use it
We use this information to answer enquiries, arrange requested conversations, prepare onboarding, protect the website and our services, diagnose faults, and keep an appropriate record of commercial or privacy correspondence.
Lawful bases
We use information where it is necessary to take steps at your request before entering a contract, where we have a legitimate interest in operating a secure business website and responding to business enquiries, and where we need to meet a legal obligation. We do not rely on consent for these core enquiry and security purposes.
Who receives information
Authorised Inclusive IT Solutions personnel and service providers supporting hosting, security, communications and professional advice may receive information where they need it for their work. We may also disclose information where the law, a regulator or a court requires us to do so. We do not sell website enquiry information.
International transfers
Core InclusiveEQ workloads use UK cloud regions. If a supplier or support arrangement requires personal information to be accessed outside the UK, we assess the transfer and use an applicable adequacy route or contractual and organisational safeguards required by UK data-protection law.
How long we keep information
We keep enquiry information only for as long as it is needed to respond, manage any resulting commercial relationship, protect our legal position and meet legal or regulatory duties. The period depends on the nature of the enquiry and whether it leads to onboarding. Security logs are retained for a period proportionate to their security purpose.
Your rights
Depending on the circumstances, you may have rights to ask for access to your personal information, correction, deletion, restriction, portability, or to object to processing based on legitimate interests. These rights are not absolute. Contact us to make a request; we may need to confirm your identity.
Your right to object: you can object to processing based on our legitimate interests. We will consider the circumstances and stop unless we have a compelling lawful reason to continue.
Cookies
The public site does not currently set advertising or analytics cookies. When an authorised user submits the preview passphrase, we set the first-party ieq_preview cookie. It is strictly necessary to provide the preview access they requested, is protected and HttpOnly, and expires after seven days. We still explain it here even though consent is not required for a cookie that is essential to provide that requested access.
AgentEQ Companion browser extension
The AgentEQ Companion is an optional browser extension for Chrome and Edge that works alongside the AgentEQ endpoint agent on devices your organisation manages. It records which recognised business application is in the active browser tab — identified from the site’s domain, subdomain or tab title — together with how long that application is actively in the foreground and a session count. This is application-usage activity, collected so the organisation that deployed it can understand software adoption and licensing.
The extension does not collect page addresses (URLs) or query strings, page content, text or form data, keystrokes, clipboard contents, passwords, or browsing history, and it produces no data for sites it does not recognise as a managed business application. Only a coarse application identifier and a duration ever leave the extension, and they are passed to the AgentEQ service installed on the same device through the browser’s native-messaging channel. The extension sends nothing directly to Inclusive IT Solutions or to any third party, and it contains no remote code.
Where the extension is deployed by an organisation to its managed devices, that organisation is the controller for the resulting endpoint usage information and Inclusive IT Solutions Ltd processes it on their behalf under the customer agreement, which also governs how long it is kept. We do not sell this information and do not use it for any purpose beyond the software-usage insight described here. Deploying organisations are responsible for informing their users in line with their own acceptable-use and privacy policies.
How to complain
Please contact us first so we can investigate. We provide a clear route for data-protection complaints and aim to acknowledge a complaint within 30 days. If you remain dissatisfied, you can complain to the Information Commissioner’s Office.
